01Design capacity around the buyer’s responsibility

A law firm, in-house team and legal-service provider retain different approval and client-facing roles. An LPO engagement should begin by identifying the buyer, workstream, supervising lawyer and decisions LawAstra may or may not make on its behalf.

02Translate instructions into a working playbook

Research, diligence and document review become repeatable only when the standards are explicit. The playbook should identify the sources, coding rules, examples, exceptions and quality threshold for the specific matter, then be tested on a small sample.

03Build review into production

A delivery plan should state who performs first-pass work, who reviews it and which items require senior escalation. For high-volume work, the sampling and quality method need to be agreed before production so error categories lead to correction rather than a cosmetic score.

04Protect sensitive matters through clear handling

LPO work can involve privileged, personal or commercially sensitive material. Access, permitted tools, location of processing, retention and escalation should be agreed in writing for the project before records are transferred or AI assistance is considered.

05Deliver a reviewable handoff

A useful LPO output lets the buyer see what was completed, what remains open and which assumptions shaped the work. The final package can include an issue log, exception list and review record under the agreed commercial model, with counsel retaining the decisions reserved to them.

Can our firm keep its own review standards?

Yes, the proposed delivery model starts with the firm’s instructions and an agreed playbook. Scope, calibration, reviewer hierarchy and sign-off remain explicit in the engagement.

How are ambiguous documents handled in a review project?

They should be logged as exceptions and escalated under the agreed rules, with the decision recorded back into the playbook when it affects later work.

Can AI process our matter files as part of LPO delivery?

Only if the engagement expressly permits the proposed tool, data handling and review method. No AI processing or security arrangement is assumed by this page.
